Office Cleaning in Raleigh and Durham: What a Good Cleaning Scope Includes

By Jake Rouse · Published

Most office cleaning problems aren't about effort. They're about scope. Here's what a good office cleaning plan in Raleigh or Durham should spell out before the first visit.

Jake here, co-owner of Triangle Home Cleaners. When an office cleaning arrangement goes wrong, it's rarely because nobody worked hard. It's because nobody wrote down what gets cleaned, how often, and by whom. Here's what a good office cleaning plan in Raleigh or Durham should spell out before the first visit, and the questions worth asking any vendor.

Start with a walk-through and a written scope

A good cleaning company tours your space after hours, photographs each zone and confirms how keys and alarms work. Then it writes the scope down zone by zone: workstations, kitchens, restrooms, floors, glass and meeting rooms, with what happens on each visit and what happens monthly. You should be able to read it and know exactly what will be done on any given night.

What a standard office scope covers

Workstations and common areas

  • Desk surfaces wiped and disinfected.
  • Monitors and keyboards dusted, without liquids.
  • Phones, door handles and light switches sanitized.
  • Trash and recycling pulled and re-lined.

Kitchens and break rooms

  • Counters, sinks and faucets degreased.
  • Microwave and coffee machine wiped inside and out.
  • Fridge exterior cleaned, interior on request.
  • Paper towels, hand soap and dish soap restocked.

Restrooms

  • Toilets, urinals and partitions disinfected.
  • Mirrors and chrome polished.
  • Floors mopped with a germicidal solution.
  • Toilet paper, soap and hand towels refilled.

Floors, glass and meeting rooms

  • Carpets and rugs vacuumed, hard floors mopped.
  • Entry mats shaken and spot-treated.
  • Interior glass doors, partitions and the front door glass cleaned.
  • Conference tables wiped, whiteboards cleaned when marked, chairs reset.

Don't skip the monthly detail rotation

Regular visits keep surfaces clean, but they aren't built to reach everything. Baseboards, vents, high dusting on light fixtures and frames, interior windows and upholstery need their own schedule. A monthly detail rotation covers those areas in turn, so nothing gets neglected for a year.

How often should your office be cleaned?

Type of spaceSchedule that usually fits
Clinics, busy co-working spaces, client-facing retailDaily, 5 to 7 nights a week
Growing teams in an office most daysThree times a week, Monday, Wednesday, Friday
Small offices, studios, professional servicesWeekly
Lower-traffic or satellite officesBiweekly or monthly, plus the detail rotation

Security, keys and accountability

An after-hours crew has access to your space when nobody is there, so ask how that access is managed. Look for documented key custody, alarm codes stored securely, signed NDAs for everyone on your account, and a logbook that records arrival and departure times, who was on site and what was completed. Your cleaning company should also be licensed and insured, and able to name your landlord or property manager as an additional insured on a certificate of insurance.

Products for shared spaces

A standard commercial kit should be EPA-registered and low-VOC. Shared offices often have someone who reacts to fragrance, so ask whether the whole account can switch to fragrance-free or Green Seal Certified products. Medical and dental offices need hospital-grade disinfectants used with the right dwell times. For the home version of the same question, see eco-friendly cleaning that actually works.

How office cleaning should be priced

Ask for one flat monthly rate, written up after the walk-through and based on square footage, schedule and scope. Hourly billing makes your costs unpredictable and rewards slow work; we explain why in how much cleaners charge per hour, and why it doesn't matter. Special projects, like a post-construction clean after a build-out, should be quoted separately and up front.

Questions to ask before you sign

  1. Can I see the scope in writing, zone by zone, before we start?
  2. Who holds our keys and alarm codes, and how is that documented?
  3. What happens if something is missed?
  4. Is there a minimum contract, and what notice do you need to cancel?
  5. Can you send a certificate of insurance naming our landlord?
